Gather invoices, statements, proof of delivery, contracts, purchase orders, mandates, debtor details, payment promises, disputes raised, and previous demands. Recovery advice depends on proof, not only on the fact that money is unpaid.
Prepare a payment history showing invoice dates, due dates, payments received, credits passed, and the outstanding balance. Unclear allocation of payments often becomes a defence or delay point.
Identify the debtor accurately. A trading name, branch name, or WhatsApp contact is not enough if litigation may follow. Registration numbers, physical addresses, directors, sureties, employers, or bank details may matter.
Escalation should consider claim value, evidence, debtor solvency, prescription, likely defences, legal costs, and enforcement prospects. A demand is useful only if the next step is commercially sensible.
